Better to use ‘comments’ than email

14/11/2009

Sometimes within a consultation we want to contact the authority of the other state. The contact details of that authority allow us to obtain the telephone, an email or postal address, etc.
However, we must remember the numerous advantages of using the ‘comments’ option provided in IMI:

  • Security: the information does not leave IMI, where it is accessed and kept in an encrypted form (few means can offer these guarantees with an adequate level)
  • Translations: the texts written in the comments benefit from the automatic translation options present in IMI
  • Reports: all comments are reflected (arranged chronologically, dated, etc.) In the reports that the system produces, so they allow to document the complete actions
  • Warnings: IMI notifies by email of the arrival of new comments (so this notification allows us to be aware of any news)

Comments can be entered at any time in the life of a query. They are ‘at the end’ of the query’s on-screen display, just before the action buttons. It is enough to write the comment (in the desired language) and click on ‘save comment’ so that the comment is kept in the query and the other party is alerted so that they can read it (and consequently respond with another comment if necessary).
